Keep the packing list, shop drawing, room and unit manuals, wiring diagrams, warranty card and product declarations for the exact order.

In short: electronic documents may arrive separately from the panels. Request missing files using product code, production date or serial number and invoice number.

Check delivery damage under the actual sale and carriage terms; do not assume every order is EXW.

What you receive, and how it arrives

Nothing in the delivery is a document folder. The room arrives as panels; the paperwork travels separately, as attachments to the email Frostbox sends you and from the download links given with it. That surprises people expecting a printed manual taped to a crate, so file that email somewhere durable rather than in a personal inbox.

The documentation set for a delivered room:

Document	What it is for
Warranty certificate	Proof of cover. It is issued for every delivered product and must be presented when you make a claim.
CE declaration of conformity	The conformity statement for the room, issued by the manufacturer.
Manual for the monoblock or remote condensing unit	The room manual deliberately defers to it: permissible ambient temperature and humidity, switching the unit on and off, the airflow diagram, and unit maintenance all live there, not in the room manual.
Wiring diagrams	Needed by the electrician making the mains connection, which must be carried out to the standards of the country of installation and accompanied by a declaration of conformity for that installation.
Shop drawing of the room	Shows the order in which the panels are assembled. The manual instructs you to follow that order, and the assembly card tells you to count the delivered panels against this drawing.
Packing list	The checklist you compare the delivery against before anyone starts building.

Check the packing list before you sign

The packing list is the one document that has a deadline. Delivery is made EXW (Incoterms ICC), so responsibility for transport damage sits with the carrier and has to be raised with the carrier at the moment of receipt.

The manual's receiving procedure is short and worth following literally:

Inspect the crates or cartons before opening them for damage caused in transit. Do the same when goods arrive unpackaged — on pallets or directly on the vehicle bed.
Open, then inspect again for damage caused during transport and handling.
Compare what is in the packaging — position, description, and quantity — against the transport documents and the packing list.
Report any damage or discrepancy immediately to the forwarder who performed the transport and to the manufacturer. In Poland, route that report to Frostbox.

Damage arising from incorrect installation or maintenance is not a valid basis for a warranty claim either, so the pre-assembly check protects you twice.

The documents a warranty claim needs

To exercise warranty rights, the buyer has to present to the seller:

the warranty certificate;
one document proving the delivery date — the invoice or the transport document. Without one of these the validity of the warranty cannot be confirmed, and the intervention is treated as chargeable and invoiced to the buyer;
the equipment with all electrical cables and accessories supplied with it, in undamaged condition;
the equipment with the manufacturer's seals intact. Breaking the anti-tamper seals fitted by MTH voids the warranty.

In Poland, all warranty, service, and complaint reports are handled by Frostbox.pl as the exclusive representative of MTH S.r.l. — do not contact the manufacturer directly. Send reports to [email protected] (tel. +48 71 707 90 25) and include:

the product code and production date from the rating plate;
the invoice or transport document number;
a description of the fault;
photographs.

Reports sent to that address are registered and handled in order of receipt.

Beyond the paperwork tied to your specific order, the manufacturer publishes its current certificates openly:

The certification scope covers ISO 9001:2015 (quality), ISO 14001:2015 (environment) and ISO 45001 (occupational health and safety), plus CSI performance certificates for hinged doors, automatic sliding doors, and the CSI handle. (Note: the manual states the ISO 45001 edition as 2018 in the annexes chapter and as 2023 on its contact page. If an audit requires the exact edition, ask us to confirm it against the current certificate rather than relying on either figure.)

The pages above carry the manufacturer's general certificates and the CE declaration for the Algor range. The documents tied to your specific delivery — warranty certificate, the CE declaration for your room, shop drawing, wiring diagrams, packing list — are the ones sent to you by email.

Keep the manual with the room

The manual is treated as an integral part of the equipment, not as packaging. Keep it accessible to every user for the room's whole life cycle, and hand it over if the room is resold or transferred, so the new user knows the installation procedure, the way it is used, and the safety instructions.

The cover carries four fields to fill in on receipt — product code, product description, production date, customer — and completing them is what makes a future service call quick. The Polish edition is GENCATALGOR_PL_ED01 – 03.2025, a translation of the original Italian instructions (GENCATALGOR_IT_ED01 – 03.2025); where the wording is open to interpretation, the manufacturer's Italian version governs.
